Working with Comments

Comments are used to gather information, facilitate discussion, and keep stakeholders informed about Tasks & Topics and Journal Entries. They are particularly well-suited for communicating interim results or relevant information so that all involved remain up to date. To create a new comment, click in the text field in the comments section of the desired task and enter your text. You can then save the comment.




Selecting the Recipient Group

The recipient list for a comment is automatically pre-filled. This is role-based and cascades: If the person making the comment is listed as the person responsible or in charge, the employees are pre-filled. If no employees are listed, the creator is pre-filled instead. If the person making the comment is designated as a collaborator, the person responsible or in charge is pre-filled. Recipients can also be selected manually by using the @ symbol in the comment field. The recipient list can be customized individually for each comment. You can select individual people, entire teams, or a contact group. You can also notify people who are not involved in the task or topic. This allows you to limit notifications specifically to the relevant individuals. People can be removed or added using the search field.


Only those individuals selected as recipients will be notified of the new comment. However, the comment itself remains visible to all involved. For more information, see the article: Visibility & Permissions for Tasks & Topics.



After posting a comment, you can use "@" to see which people received notifications.

Side Dishes & Options

The following actions are available for the attachments in a comment:


  • Add from the project: You can link to project content from documents or the media library directly in the comment
  • Upload from your device: Files can be uploaded directly as attachments to a comment
  • Create a follow-up task: You can create a new task linked to this one Next Task
  • Document as a decision: A Decision can be created directly from the comment, which is linked to the task


Attachments in buildagil are object-specific and belong exclusively to a task or topic. They cannot be searched for across the entire project and are not versioned. Attachments are suitable for photos or brief supporting documents; for plans and project documents, we recommend storing them in the Document Storage and including a link in the comment or description.


In the mobile app, you can also add photos and videos as attachments directly using the built-in camera or your device's camera. For more information, see the following article: Taking Photos in the Mobile App.



Using the options, you can access the Recipient group displayed or the comment Replied or this one Deleted.

Creating Follow-Up Tasks

If a comment gives rise to a new task, you can create a follow-up task directly. The entry window for the new task will then open. This task is automatically linked to the original task and can be created as usual. For more information, see the following article: Creating Tasks.

Documenting Comments as Decisions

If a discussion in the comments leads to a decision, that decision can be documented directly from the corresponding comment. A new decision will then open, linked to the comment on the task. For more information on creating decisions, see the following article: Creating & Editing Decisions.

Responses to Comments

You can reply directly to an existing comment using the reply icons. You can choose whether to reply only to the author or to send the reply to all recipients of the original comment. The original comment and the relevant recipients are automatically linked in the new comment.

Finding Comments in the History

You can use the magnifying glass icon in the comments section to search comments by specific content, which makes it easier to navigate, especially in long comment threads. Found comments are highlighted with a gray border, and the currently selected comment is displayed with a green border. Press Enter to jump to the next found comment, and use the arrow keys and to switch between the next and previous comments. For comments linked to a checklist item, the "Find in Comments" option is also available. For more information, see the following article: Editing Tasks.

Deleting Comments


A comment can only be deleted if it does not mention any specific individuals and no other comment has been posted by another user. The reason for this is to ensure that all project participants can still follow the thread. If a comment must be deleted for any other reason, please contact Support.
