Overview of Tasks & Topics

The visibility and permissions for tasks and topics are described in the following article: Visibility & Permissions for Tasks & Topics.

In buildagil, roles such as tasks, topics, information, decisions, journal entries, and personal tasks are referred to as elements. Each element serves a specific purpose in collaboration and documentation.

Tasks

Tasks are the most commonly used type in buildagil. They are used to record and assign work and assignments in a structured manner, plan their implementation, and exchange information. Upon completion, a comprehensive record of the work steps is created. A task includes a title, categories, description, checklist, due date, linked objects, coordination (scheduled meeting), and comments for communication. For more information on creating tasks, see the following article: Creating Tasks.

Test Questions

Review tasks are used for the structured review of documents. They support quality assurance by defining clear responsibilities and deadlines for the review. A key advantage is that the entire review process is transparently documented, and it is possible to track at any time which steps have already been completed. Review tasks can be created directly from documents and are automatically linked to them. Review tasks ensure that reviews are executed efficiently and that approvals are recorded centrally. For more information, see the following article: Reviewing and Approving Documents.

Model Tasks

Model tasks are used for the structured handling of BCF issues within a 3D model. A key advantage is that tasks are created and edited directly within the context of the model. This facilitates coordination between planning, functional departments, and execution. Storing them in the BCF format also enables data exchange with other programs. Model tasks can be linked to other elements such as documents, topics, or journal entries. This ensures seamless integration into overall project coordination and maintains the connection between the model context and accompanying information. For more information, see the article: Creating and Viewing BCF Model Tasks.

Personal Tasks

Personal tasks help you organize and carry out planning for your own activities in a structured way. They create a clearly defined workspace where you can plan, prioritize, and track your personal to-dos. This makes your daily work more manageable and helps you focus on your own priorities. Since personal tasks are visible only to you, your workspace remains private. For more information, see the article: Personal Tasks.

Topics / Conversations

Topic items serve as the basis for discussions and support structured meeting preparation. They provide a central framework in which open issues are compiled and discussed together. A key advantage is flexibility: Depending on the result, topic items can be directly converted into a task, a piece of information, or a decision. This ensures that every discussion results in a clear next step. For more information, see the following article: Creating & Editing Topics / Discussions.

Information

Information is used to share news with specific groups of people in a targeted manner. It ensures that important changes or announcements are communicated in a clear and traceable way. A key advantage is transparency: it documents who received which information, thereby preventing misunderstandings. Typical use cases include, for example, announcing a new plan version or other project-related changes. This ensures that all stakeholders are always kept up to date on the current status. Decisions

Decisions serve to clearly document resolutions that emerge from discussions or meetings. They establish a binding foundation and ensure that the resolutions reached can be traced at any time. A key advantage is transparency: Documenting decisions creates clarity and establishes a foundation for further action. Discussions themselves are not part of a decision. For more information, see the following article: Creating & Editing Decisions.

Journal Entries

Journal entries are used for structured documentation on the construction site, such as for incidents, defects, or photographs. They provide a central basis for recording observations and events in a traceable manner. A key advantage is traceability: defects can be treated as tasks and assigned for resolution. To ensure accuracy, GPS and weather data are automatically recorded when an entry is made. This results in complete and objective documentation.
