Synchronization with OneDrive


It is recommended to connect projects to OneDrive only if the authoring system, especially CAD's, requires multiple files to read and save or if exports from these systems are to be executed directly to buildagil. There is a limit of 300,000 files for OneDrive synchronization. Further information can be found in the following article: Restrictions in OneDrive and SharePoint.


In all other cases, files should always be uploaded directly to buildagil and opened using the "Open in app" role. Further information can be found in the following articles: Upload folders & documents, Open folders & documents in local program.


An M365 Business account is required for synchronization with OneDrive.

Establishing OneDrive synchronization for Windows

Synchronization can be started via the document view of the project.



You can then select the desired name for the project folder.



A dialog then appears, which can be confirmed with "Open Microsoft OneDrive".



If necessary, a login prompt for OneDrive will appear. The project folder will then appear in Explorer.

Establishing OneDrive synchronization for macOS

Synchronization can be started via the document view of the project.



You can then select the desired name for the project folder.



A dialog then appears, which can be confirmed with "Allow".



During the first synchronization, a login screen for the Microsoft account appears.



After successful login, the synchronized folder is displayed in the Finder.

Synchronize selected folders

All folders in a project are synchronized by default. However, after setting up the synchronization, you can specify that only certain folders should be synchronized. The folders to be synchronized can be managed via the OneDrive settings.



The folder selection option is available for the desired project under "Account".



You can now deselect the folders that are not to be synchronized.

Disconnecting the OneDrive synchronization

OneDrive synchronization can be ended at any time and the project folder can then be removed from the Explorer. Synchronization can be managed via the OneDrive settings.



The option to end synchronization is available for the desired project under "Account".



The project folder can then be deleted in OneDrive.


If no icon is displayed for the folder under Status, the project is no longer synchronized and can be deleted. If a project is deleted where a cloud is displayed under Status, the project data is also deleted on buildagil. The elements end up in Recycle bin and can be restored from there.

Rename OneDrive project folders

The OneDrive project folder can be renamed by first disconnecting the synchronization, renaming the folder locally and then restoring the synchronization. The name when reconnecting must be exactly the same as the renamed folder.

Troubleshooting


If the following troubleshooting does not lead to success, you are welcome to contact support.



If data is no longer synchronized, there may be various causes. The following sections describe possible solutions.


Troubleshooting when setting up OneDrive synchronization

If you try to set up OneDrive synchronization and the error message "Sorry, OneDrive cannot add your folder at the moment." appears, this may have the following causes.



Possible causes:

  • At least one M365 Business account is required for the sync
  • Outdated identity data is loaded in the Office cache (e.g. If the e-mail address was recently changed)
  • Different accounts are used to log in for OneDrive and buildagil


Possible solutions:

  • Use account with an M365 Business license
  • Delete local login information in Windows (remove all entries related to OneDrive, Microsoft Account or Office according to the following instructions: Logon Information Manager in Windows)
  • The same account must be used for the OneDrive Sync as for the login to buildagil

Exit & restart OneDrive

To restart OneDrive, the program can first be closed via the options.



OneDrive can then be searched for via the start search field and restarted. This will also reinitialize the synchronization process.

OneDrive Reset

The OneDrive reset completely interrupts the synchronization and creates a new one. To do this, press the key combination "Windows key + R" and enter and start the following command in the "Run" dialog.

This may now take a few minutes. The OneDrive icon will disappear and OneDrive will restart automatically after the reset. If OneDrive does not start automatically, it can be restarted via the start menu or the following command:

Synchronization for large projects

OneDrive synchronization always includes the entire project when it is set up and can only be limited to individual folders afterwards. For very large projects or several synchronized projects, the limit of 300,000 files can be reached quickly under certain circumstances.


It is recommended to edit files directly via the "Open in app" role where possible, as this does not require full synchronization. Further information can be found in the following article: Open folders & documents in local program.


If OneDrive synchronization is still required, you can use the "Synchronize selected folders" role after setup to specify which folders are to be synchronized. Alternatively, a folder can be created as a favorite in Explorer and a shortcut with a link to the corresponding buildagil folder can be stored. This enables quick access from the Explorer without complete synchronization.
