Synchronization with OneDrive


It is recommended to connect projects to OneDrive only if the authoring system—particularly CAD systems—requires multiple files for reading and saving, or if exports from these systems are to be executed directly on buildagil. There is a limit of 300,000 files for OneDrive synchronization. For more information, see the following article: Limitations in OneDrive and SharePoint.


In all other cases, files should always be uploaded directly to buildagil and opened using the "Open in App" feature. For more information, see the following articles: Uploading Folders & Documents, Opening Folders & Documents in a Local Program.


An M365 Business account is required for synchronization with OneDrive.

Setting Up OneDrive Sync for Windows

Synchronization can be started from the project's document view.



You can then select the desired name for the project folder.



A dialog box will then appear, which you can confirm by clicking "Open Microsoft OneDrive."



If necessary, a prompt to sign in to OneDrive will appear. The project folder will then appear in File Explorer.

Setting Up OneDrive Sync for macOS

Synchronization can be started from the project's document view.



You can then select the desired name for the project folder.



A dialog box will then appear, which you can confirm by clicking "Allow."



During the first synchronization, a sign-in screen for the Microsoft account appears.



Once you have successfully logged in, the synced folder will appear in Finder.

Synchronize Selected Folders

By default, all folders in a project are synchronized. However, after setting up synchronization, you can configure the system so that only specific folders are synchronized. You can manage the folders to be synchronized through the OneDrive settings.



For the desired project, the option to select a folder is available under "Account."



Now you can deselect the folders that you do not want to synchronize.

Disabling OneDrive Sync

You can stop OneDrive synchronization at any time and then remove the project folder from File Explorer. You can manage synchronization through the OneDrive settings.



For the selected project, the option to stop synchronization is available under "Account."



After that, you can delete the project folder in OneDrive.


If no icon appears next to "Status" for a folder, the project is no longer synced and can be deleted. If you delete a project that has a cloud icon next to "Status," the project data will also be deleted from buildagil. The items are moved to Recycle bin and can be restored from there.

Renaming OneDrive Project Folders

You can rename the OneDrive project folder by first disconnecting the sync, renaming the folder locally, and then creating a new sync. For more information on disconnecting and resyncing the project, see the following sections: Disabling OneDrive Sync, Setting Up OneDrive Sync for Windows, Setting Up OneDrive Sync for macOS.



The name used when reconnecting must match the renamed folder exactly.

Troubleshooting


If the following troubleshooting steps do not resolve the issue, please feel free to contact Support.



If data is no longer being synchronized, there may be several possible causes. The following sections describe possible steps to resolve the issue.


Troubleshooting OneDrive Sync Setup

If you try to set up OneDrive synchronization and see the error message "OneDrive can't add your folder right now," this may be due to the following reasons.



Possible causes:

  • At least one M365 Business account is required for synchronization
  • Outdated identity data is loaded in the Office cache (e.g., if the email address was recently changed)
  • Different accounts are used to sign in to OneDrive and buildagil


Possible solutions:

  • Use an account with an M365 Business license
  • Delete local credentials in Windows (Delete all entries related to OneDrive, Microsoft Account, or Office by following these instructions: Account Information Manager in Windows)
  • You must use the same account for OneDrive Sync as you do to log in to buildagil

Closing and Restarting OneDrive

To restart OneDrive, you can first close the program via the Options menu.



You can then search for OneDrive using the Start search box and restart it. This will also reinitialize the synchronization process.

OneDrive Reset

The OneDrive reset completely stops and then creates new synchronization. To do this, press the "Windows key + R" shortcut, enter the following command in the "Run" dialog, and press Enter.

The duration of this process may be a few minutes. The OneDrive icon will disappear, and OneDrive will restart automatically after the reset. If OneDrive does not start automatically, you can restart it from the Start menu or by using the following command:

Synchronization for Large Projects

When setting up OneDrive synchronization, it always covers the entire project and can only be limited to individual folders later on. For very large projects or multiple synchronized projects, the limit of 300,000 files may be reached quickly under certain circumstances.


We recommend editing files directly using the "Open in App" feature whenever possible, as this does not require a full synchronization. For more information, see the following article: Opening Folders & Documents in a Local Program.


If you still need OneDrive synchronization, you can use the "Sync selected folders" feature after setup to specify which folders should be synced. For more information, see the following section: Synchronize Selected Folders. You can also reduce storage usage using OneDrive storage optimization. Alternatively, you can create a folder as a favorite in File Explorer and add a shortcut with a link to the corresponding buildagil folder. This allows for quick access from File Explorer without a full synchronization.
