Local editing of Office documents

Systemanforderungen: System requirements Office programs

Open Office documents with local program

In order for Office documents such as Word, Excel, PowerPoint etc. To be opened and edited locally, the programs must be installed on the PC and the corresponding licenses must be available.

How Office files are opened and edited locally is described using a Word document as an example.

In buildagil, the role Edit in Word can be used to open the document in the local Word.

Changes to the document are saved automatically, and it is also possible for several users to edit the document at the same time.

After clicking on Edit in Word a window appears.

Here you can activate the selection that this window no longer appears when opening Office documents.

Click on Open Word.

Troubleshooting

If the following troubleshooting does not lead to success, you are welcome to contact support.

Troubleshooting when opening documents in the local program

This may be due to your company's settings. An IT person responsible can fix this. In the GPO (Group Policy Object from Microsoft) under User Configuration -> Policies -> Administrative Templates -> Microsoft Office (Version)-> Miscellaneous, set the option "Block logon to Office" to "Not configured".

If you are affected by this problem, please contact your internal IT department and submit a request for approval of the corresponding data formats. If approval is refused, buildagil support can contact your IT department directly to provide a reason for the approval.

Troubleshooting logon request when opening documents

It may happen that a login prompt appears every time you open Office documents. This discrepancy can be resolved in the same way as described in "Troubleshooting when opening documents in the local program".

Troubleshooting when saving Office documents

When opening Office documents, the following message may appear "Upload blocked elements. We could not verify that you have the necessary permissions to upload the file.". In this case, the document cannot be saved to buildagil again.

This is because you are not signed in to Office with the same Microsoft account as you are with buildagil. Sign in to Office with the same account as buildagil to fix the cause.

Troubleshooting when opening documents with Office programs with multiple accounts

If a user is logged into Microsoft programs such as Word, Excel, etc. With several Microsoft accounts at the same time, Microsoft does not recognize which account should be used when opening documents. The following message appears: "Sorry, document nameXY could not be opened."

Solution:

Log out of the desired Microsoft program from the account that is not currently required. This will cause Microsoft to automatically use only the active account to open the document. For more information on using multiple Microsoft accounts, see the following article: Dealing with multiple accounts.

Troubleshooting when opening the wrong version of Office documents

If an older, locally saved version is displayed when opening Office documents, this may be due to cached data in the local OneDrive cache. The message "Update recommended. A new version of this file is available on the server."

Possible solutions:

  • The file can be renamed so that it is reloaded from the server by the Office program. Otherwise, the older version from the cache will continue to be used
  • Alternatively, the file can be moved to another folder. This also bypasses the cache and the file is reloaded
  • The cache for Office documents can also be deleted in the Office settings under "Save". For Mac, the following options can be checked: Delete the Office cache on a Mac computer

If these solution options do not help, the Office cache can also be deleted completely on Windows.

Save and close all Office applications (MS Projects, Excel, Word etc.) before executing this step.

To do this, open the Run dialog with "Windows + R" and enter the following path:

%LocalAppData%\Microsoft\Office\16.0\OfficeFileCache

All subfolders in the "OfficeFileCache" folder can then be deleted.

Troubleshooting for error message 7anyj when opening Office files

It can happen that the following error message appears when opening Office files "Something did not work. [7anyj] An unexpected error occurred.". One possible cause is a corrupted or inconsistent Windows M365 identity on the device.

The following steps serve as an initial troubleshooting measure. As this resets login data and device-specific information, the execution should be coordinated with or carried out by the internal IT department.

First, a complete reset of the Windows M365 identity is recommended.

  1. Log out Office & M365 completely
  • First log off all Office programs (Excel, Word, etc.)
  • Then disconnect access to the work or school account in the Windows settings under "Accounts"

It is important to really disconnect access, not just log it off.

  1. Delete Windows Identity Cache

Open Explorer and delete all contents in the following folders:

  • %LOCALAPPDATA%\Packages\Microsoft.AAD.BrokerPlugin_cw5n1h2txyewy
  • %LOCALAPPDATA%\Microsoft\OneAuth
  • %LOCALAPPDATA%\Microsoft\IdentityCache

The folders may then be empty.

  1. Completely clean up logon information management
  • Open the Control Panel and delete all entries relating to Microsoft, Office, OneAuth, SharePoint, ADAL and Azure under "Logon Information Management".

  1. Restart
  • It is important not to skip the restart

  1. New registration - in exactly this order
  • Windows first
  • Then add the work or school account again in the "Accounts" settings
  • Start the Office program again, add the account and only then open the SharePoint file

If the previous attempt at a solution is unsuccessful, you can continue with the following measure. An IT administrator from the organization must be consulted for this.

Variant A:

  1. Disconnect the Entra ID connection
  • In the settings under "Accounts" -> Access work or school account -> select the relevant account and then "Disconnect"

This button only appears if local administrator rights are available and the BitLocker key is secured.

If the button is missing, continue with variant B:

  • Open CMD as administrator and execute the following command: dsregcmd /status
  • Check whether AzureAdJoined : YES
  • Then execute the following command: dsregcmd /leave

Expected behavior: The device leaves Entra ID and the user is logged out.

  • Then restart the device
  • Log back on to Windows locally
  • In the settings under "Accounts" -> Access work or school account -> Log in to company account again

This will create a new device trust, reinitialize the WAM/AAD broker and relink Office/SharePoint.

  1. Start the Office program again, add the account and only then open the SharePoint file

Troubleshooting to disable email notifications from Office files

If Office files such as Word, Excel or PowerPoint are edited or commented on online, users may receive email notifications for each change. This is a standard OneDrive and SharePoint setting that notifies users of file activity. These notifications can be deactivated in the OneDrive and SharePoint settings.

To do this, you can open the company OneDrive and adjust the notification settings there in the settings. Example link: https://<tenant>-my.sharepoint.com/

Replace <tenant> with the name of your Microsoft 365 tenant.

In SharePoint, the e-mail notification settings can be accessed via the following sample link. Example link: https://<tenant>.sharepoint.com/_layouts/15/sharepoint.aspx/emailNotificationSettings

Replace <tenant> with the name of your Microsoft 365 tenant.
