Contents of the Project Export

The project export feature allows you to export all relevant project data—from documents and contacts to tasks and meeting minutes—in a compact, structured ZIP archive. This makes it possible to fully archive a project upon its completion.


  • Contacts: PDF document containing information about all contacts
  • Documents: All documents, including the complete folder structure and version history
  • Media Library: All images from the media library
  • Planning: Microsoft Project scheduling
  • Tasks and Topics: PDF document containing information on all tasks and topics, including the history of comments
  • Meetings: All approved, rejected, and pending meeting minutes
  • Journal: PDF document containing information on all journal entries, including the comment history
  • Inspections: All inspection reports created


Perform the project export

To start the project export, click on the project logo and then on Project Export.



Data is exported only for those items for which the person performing the export has access permissions. The execution of a complete export of the project can be performed by a project administrator.


The project export is provided as a ZIP archive. The ZIP archive is no longer subject to buildagil's access permissions and can be opened by anyone with whom the export is shared.


Then click + Export.



In the next window, select the date for the export and click Plan Export.



A project can only be exported if the last export took place at least 4 weeks ago. This limit applies per project and per user.


Depending on the size of the project, the project export is usually available within the course of the following day. You can then download the project export from the same view by clicking Download. The export remains available for download for two weeks.



Using project export

After downloading the project export, you must unzip the ZIP archive so that all features within the export work as intended.



You can then access the archive.

Links:

All links found in buildagil are also available in the export. These links do not point to buildagil (online) but always lead directly to the correct document or division in the archive.

For example, if a document has been linked to a task, you can open the document from the archive by clicking the link in the task list. If the link leads from one task to another, the screen automatically scrolls to that task. For plan sections and model views, both the image of the section and the original document are linked.



version history:

The version history for each document is always visible alongside the documents themselves. The versions are stored in the ".versions" folder within each folder containing documents and are sorted by date.

Troubleshooting Export Download Issues

Various error messages may appear when downloading the export as a ZIP file. The causes vary depending on the browser you are using and the type of message. Links to troubleshooting guides for each browser are provided below.

Troubleshooting Issues When Opening the ZIP File

In some cases, the ZIP archive of the project export may not open. If this happens, the message "Cannot open folder" will appear:



The reason for the error message is that Microsoft-based systems have a character limit of 260 characters for file and folder paths.

To open the ZIP file anyway, you can extract it using a tool such as 7-ZIP. 7-ZIP has no character limit and therefore circumvents this issue.
