Selecting and Editing Templates
When creating a journal entry, you can select a template using the “Use Template” icon. All the information stored in the template is automatically applied, which significantly simplifies the creation process and ensures that entries follow a consistent structure.

The template overview displays all project templates that have been shared across projects or with the user's team. It also displays all personal templates. Using the options, you can edit, pin, copy, or delete templates. Pinned templates appear at the top of the list, making it easier to find frequently used templates. You can also search for specific templates using the search function.

Creating Templates for Journal Entries
You can create new templates for journal entries using the "plus icon." When you use the template, the filled-in fields are carried over to the new entry. Fields that have not been filled in remain blank in the new journal entry and are not carried over.

When creating a template, you can first specify the template title, an optional description, and its visibility. Visibility can be restricted to the project, to one or more selected teams, or to yourself only. You can then enter the title, categories, classification, attachments, as well as the involved company and the person responsible. Personal journal templates can be created by all users. Project, team, and cross-project templates are subject to the corresponding permissions. For more information, see the following article: Visibility & Permissions for Journal Entries.

Cross-Project Templates
Cross-project journal templates are particularly useful when standardized entries are to be used across multiple projects. This ensures consistent documentation across different projects and reduces the effort required to create them.
Using and editing these works the same way as with the Project Templates. When creating a template, you can choose between “Company” and “Personal.” If “Company” is selected, the template is visible to all employees of the company. The personal template is available only to the person who created it. All employees of the company can create and edit company-owned templates.

For cross-project journal templates, only those fields that have the same structure across all projects are available. For example, categories cannot be used because they are defined on a project-by-project basis.

Creating a Direct Message from a Template in the Mobile App
Pinned journal templates are available in the mobile app right when you create an entry. This can significantly speed up the process of creating journals.

In addition, the pinned templates can be downloaded in advance so that they are also available offline. This ensures that the templates can be used at any time, with or without an internet connection.

Creating a report using a template is also available in the protocol for Controls & Inspections and in the model viewer for Model tasks. For more information about the mobile app, see the following article: Installing and Using the Mobile App.
