Create documents
In most cases, documents are created on buildagil Uploaded. In addition, Word and Excel files as well as OneNote notebooks can be created directly in the folder structure via "Create". Write permission is required on the parent folder for these actions. At the top level, this right is reserved exclusively for project administrators.
Document creation, file upload, file storage, document management, project documents
Editing documents
Documents can be edited if you have write access to the respective folder. You can find more information on this in the article: Visibilities & authorizations of folders & documents. The options available depend on the document type.
Editing Office documents
Office documents can be opened and edited Locally in one program or online.
Editing PDF documents
PDF documents can also be opened and edited Local or Online.
Opening and editing models
BIM models can be created directly in Viewer opened and edited.
Edit other file types
Other file types can be Opened in a local program. This means that editing is also possible for formats that are not directly supported in buildagil.
Download
Documents can be Downloaded to use them outside of buildagil.
Copy link
Documents can be Linked to reference them directly in other elements. The link to a document can also be inserted in another project. If users have the necessary access and viewing rights in both projects, the document is accessible there.
Creating tasks & topics
Tasks & topics can be created directly for a document. These are automatically linked to the document, which means that work packages or discussions are recorded directly in the context of the document.
Sending documents to external contacts
Documents can be sent to External contacts sent to be delivered to people who do not have access to buildagil.
Favorites
Documents can be added to the Favorites. This creates a personal overview of frequently used documents that can be quickly accessed at any time.
Change status of documents
Documents can be created with a status change Test tasks. This supports structured quality assurance.
Version history
A Version history is available for documents. This can be used to check previous versions or Restored. This enables transparent traceability of changes.
Other roles
Documents can be renamed, moved, copied or deleted. Deleted documents end up in Recycle bin and can be restored from there. Documents can be copied to other projects using "CTRL + C" and "CTRL + V".
Categorize
Documents can be categorized in the folder structure. The assignment of categories facilitates the search and enables targeted filtering. Categories are defined and edited in the Project settings.
In addition to the editing functions, further information is also visible in the overview. This includes the file size, the modification date with details of the person responsible and the creation date with the creator. In this way, it is always possible to see when and by whom a document was created or last modified.
