Open Office documents with local program

In order for Office documents such as Word, Excel, PowerPoint etc. To be opened and edited locally, the programs must be installed on the PC and the corresponding licenses must be available.

How Office files are opened and edited locally is described using a Word document as an example.

In buildagil, the role Edit in Word can be used to open the document in the local Word.

Changes to the document are saved automatically, and it is also possible for several users to edit the document at the same time.





After clicking on Edit in Word a window appears.

Here you can activate the selection that this window no longer appears when opening Office documents.

Click on Open Word.



Troubleshooting when opening Office documents

Documents cannot be opened in the local program

This may be due to your company's settings. An IT person responsible can fix this. In the GPO (Group Policy Object from Microsoft) under User Configuration -> Policies -> Administrative Templates -> Microsoft Office (Version)-> Miscellaneous, set the Block logon to Office option to Not configured.



If you are affected by this problem, please contact your internal IT department and submit a request for approval of the corresponding data formats. If approval is refused, buildagil support can contact your IT department directly to provide a reason for the approval.


Login must be executed when opening each document

This problem can be solved in the same way as described under "Documents cannot be opened in the local program".


Signed in to the Office programs with the wrong Microsoft account

The following message may appear when opening Office documents. The document cannot be saved.



This is because you are not logged in to Office with the same Microsoft account as with buildagil.

Log in to Office with the same account as with buildagil and the problem is solved.


Opening documents with Microsoft programs with multiple accounts

If a user is logged into Microsoft programs such as Word, Excel etc. With several Microsoft accounts at the same time, Microsoft does not recognize which account should be used when opening documents.


Solution:

Log out of the desired Microsoft program from the account that is not currently required. Microsoft will then automatically only use the active account to open the document.

Opening incorrect versions of Office files

If an older, locally saved version is displayed when opening Office documents, this may be due to cached data in the local OneDrive cache.



Possible solutions:

  • The file can be renamed so that it is reloaded from the server by the Office program. Otherwise, the older version from the cache will continue to be used
  • Alternatively, the file can be moved to another folder. This also bypasses the cache and reloads the file
  • The cache for Office documents can also be deleted in the Office settings under "Save". For Mac, the following options can be checked: Delete the Office cache on a Mac computer
