Preparation and Execution of Controls and Inspections and Acceptance Tests

Preparation of the Control/Acceptance Report

The protocol is used for the structured preparation of controls and inspections. It is composed of individual elements in which the relevant inspection points or acceptance criteria are defined, for example, for safety inspections, quality checks, or factory inspections. These elements form the basis for execution at the location and enable the creation of digital checklists. They are then worked through step by step during the appointment and automatically appear in the printed protocol. To learn how to create a control or inspection, see the following article: Creating Controls & Inspections.

The roles that are allowed to view and edit the protocol are described in the following article:Visibility & Permissions for Controls & Inspections.

The following elements are available:

  1. Heading
  2. Title (subordinate to the headings)
  3. Description (with pictures and documents)
  4. Text field
  5. Selection (simple)
  6. Selection (multiple)
  7. Date
  8. Date and Time
  9. People
  10. Photos & Videos
  11. Tasks & Journal Entries

The individual checkpoints or acceptance criteria are defined in these elements. This allows you to create digital checklists that can be worked through directly during the inspection. The preparation of the protocol ensures consistent execution and comprehensive documentation on the construction site. The following example shows how the elements can be used for a construction acceptance inspection:

Elements or entire sections that are not needed can be hidden. They will then appear in gray and in a compact format and will not be included in the printed protocol.

Showing/Hiding an Element
Elements can be shown or hidden directly using the element's options.

Show/Hide a Section
For headings and titles, you can also use the "Hide entire section" option. For headings, all content up to the next heading is hidden; for titles, all content up to the next title or the next heading is hidden.

Execution of Controls & Inspections

During execution, the prepared fields are filled out step by step directly at the location. Users can make single or multiple selections, add text, upload images and videos, and enter the date and time. In the Mobile App, images and videos can be added directly using the built-in camera or the device’s camera. In addition, you can create tasks and journal entries or add to existing entries. Journal entries can also be created in the mobile appDirectly using templates. For example, this allows you to document whether a defect previously recorded as a journal entry has been corrected. This makes it easy to track which items were inspected, whether further action is needed, and what the current status is at the location. Once the control or inspection is complete, the printed protocol is generated, reviewed by the participants, and then approved.

In the following article, you'll learn how to approve controls and inspections: Approval of Controls and Inspections.
