Using Templates

Templates enable the standardized and efficient creation of inspections. When creating a new inspection, you can select an existing template by clicking "Use Template." The stored information and the predefined workflow are automatically applied. The “Date & Time” and “Excused” fields must then be filled in manually. Fields that have already been filled in can be edited at any time.

Creating Templates

New templates can be created in two ways: either by clicking the "plus icon" in the template overview, or directly from an existing control or inspection using the "Create Template" function. Personal templates can be created by all users. Project templates can only be created by project administrators and project coordinators. Existing templates can be edited, pinned, copied, or deleted.



The following fields can be defined in a template. When the template is selected, the completed fields are carried over to the new inspection form.
Blank fields are not carried over when using the template:


  1. Template Title (visible only during selection)
  2. Template Description (visible only to those who select it)
  3. Template visibility: Project (visible to all users in the project)
  4. Template Visibility: Teams (Visible to selected teams and contact groups)
  5. Template visibility: Private (visible only to the creator)
  6. Acceptance Title
  7. Categories
  8. Location
  9. Organizer
  10. Additional Editors
  11. Participants
  12. Distribution

Approval templates with attachments larger than 2 MB cannot be saved. In this case, the attachments can be stored in the documents and linked to in the template.

Cross-Project Templates

Cross-project templates enable company-wide standardization of controls and inspections. These templates are available to all employees of a company across all projects.


Cross-project templates are available only to companies with a Team Package.


The templates for companies can be found in the same overview and have the same functionality as the project templates.



When creating a template, you can choose between "Company" and "Personal." Company templates can be created by any employee in the company and are visible to and editable by all employees. Personal templates remain private.


Cross-project templates contain only fields that are identical across all projects. For example, categories cannot be set, since they may vary from project to project.
