Check & release documents

The following article describes how a review task can be created. Review tasks enable documents to be reviewed in a structured manner and then released.
As test tasks have almost the same structure as normal tasks, only the differences are discussed here.
How to create a task is described in the following article: Create task

Create test task

To create a check task, the document to be checked must first be selected. The status can then be set to Review either before opening or while the document is open.

If the status is set, a message appears. If you click on Yes, a test task is generated.

Define test sequence

This check task directly contains the name "Check document" and the link to the corresponding document. The description, attachments etc. Can be customized as with the Tasks. Examination tasks can also be loaded from a template, this is described in the following article: Task templates

Compared to a task, the test task also contains the test procedure. Items with a check title (similar to a checklist) can be created here, in which it is defined what is to be checked. Each of these points can be assigned to a person and is given a due date. In this way, each addressee knows what they should check in this document.

Complete review

Once the test task has been created and the test sequence defined, all those assigned to an item can complete their part.

Only when all subtasks have been completed can the person responsible complete the review and then the task.

Once the task has been completed, the status of the document is set to Approved.

Cancel review

If not all participants complete their part, the task can be ended via Cancel review, but the status of the document is not set to "Approved".
