Selecting & editing templates

Templates for tasks & topics make it possible to automatically adopt recurring content such as titles, descriptions, categories or checklists when creating a task. This saves time during creation and ensures a uniform structure. When creating a task/topic, a template can be selected via the "Use template" icon.



When a template is selected, all information filled in the template is transferred to the new task. The due date and the assignment to meetings & agenda items cannot be transferred and must be added manually. All project templates that have been shared across projects or for the user's team are displayed in the template overview. All personal templates are also displayed. Templates can be edited, pinned, copied or deleted using the options. Pinned templates appear at the top of the list, making it easier to find frequently used templates. Templates can also be searched for using the search function.

Create templates for tasks & topics

New templates for tasks & topics can be created using the "plus symbol". The completed fields are transferred to the new entry when the template is used. Fields that have not been filled in remain empty in the new item and are not transferred.



The following fields can be stored in a task/topic template:

  • Template title and optional description
  • Visibility (project, teams or personal)
  • Task titles and categories
  • Description and enclosures
  • Checklist (only for tasks)
  • Responsible and collaborating persons (for topics: Person responsible; for information and decisions: Recipient)

Templates can also be created for model tasks, for which a new Model task can be created first. All users can create personal task templates. Project and team templates can only be created by project administrators and project coordinators. Creating templates for test tasks

Templates for test tasks make it possible to store recurring test procedures in a standardized way and to automatically adopt them when creating a test task. They can be created directly when creating a test task. Further information on creating test tasks can be found in the following article: Check & release documents.


The following fields can be stored in a test task template:

  • Template title and optional description
  • Visibility (project, teams or personal)
  • Task titles and categories
  • Description and enclosures
  • Inspection process: List of inspection points with title, responsible persons and due date
  • Person responsible for the test task

Cross-project templates

In addition to the project templates, it is possible to create cross-project templates for tasks, model tasks and test tasks. These templates are available to all collaborators in a company across all projects. The template tasks for companies can be called up and edited via "Use template".


Cross-project templates are only available for companies with a team package.



Using and editing the company templates works in the same way as with the project templates. When creating company templates, you can choose between "Company" and "Personal" for visibility. Company templates can be created by all of the company's collaborators. If "Company" is selected, the template appears in the list for all of the company's collaborators. If "Personal" is selected, the template is only available to the person creating it. The templates can be edited by all persons in the company. In the case of cross-project templates, only the fields that are identical in each project are available. For example, no categories can be set as these are different in each project.
