The authorizations of users on buildagil are basically regulated by the following properties:
Overarching role as project administrator, project coordinator or user (see Roles) and role in the respective element (see following sections)
Visibility and editability of the element based on the approval of an element for individual teams (see notes in the following sections) in combination with the user's team assignment (see Team assignment)
The shield icon can be used to display the authorizations and visibility of the teams for selected elements.
These elements include folders, documents, tasks, journal entries, etc.
If you have the authorization (see notes in the following sections), you can enable editing and visibility for selected teams.
To control which teams have access to which elements, there is a filter by visibility.
This filter is available under documents, tasks, topics and in the journal.
The filter by visibility is only available for project administrators.
If the filter is activated, only the folders, documents, tasks and topics to which the selected teams have access are displayed.
If a link is opened to which the person opening it has little access, the following error message appears:
There are two ways in which a user can obtain authorizations for a task or topic:
A user is added to the participants of a Task/ Topic, granting him and his Team authorization.
A user is mentioned in a Comment, which grants him and his Team authorization for this element.
Whenever the visibility of a task is extended by adding a new user, a message appears.
A user and his Team receive permissions for a Meeting when he is added as a participant, excused or in the additional distribution.
If a participant or a Task & Topic with less visibility than the meeting is added, a warning appears. For more information on how to add a Task/ Topic to a meeting, see the following link: Transfer tasks/topic
The visibility of the meetings can also be edited by the organizer. The visibility of the meetings can also be subsequently adjusted by the meeting organizer or a project admin.
