General information on visibility & authorizations
The access and editing rights of a user to an element (folder, documents, tasks, journal entries, meetings, etc.) depend on the following factors:
- Comprehensive Role of the user (project administrator, project coordinator or user)
- Role of the user in the element
- Fixed Visibility of the element in combination with the Team assignment of the user
Display and adjust visibility
By default, an element is visible to Basic teams of the users involved (if available) and, if applicable, to Basic teams in the project when it is created. Depending on the element type and the user's role in the project and in the element, the visibility can be adjusted during and after creation. In certain cases, the visibility is also automatically extended due to an extension of the users involved in the element. Detailed information on visibility can be found under Visibilities & authorizations in details.
The shield symbol can be used to indicate for which teams an element is visible.
The person icon also shows which users have visibility of the element (according to team assignment).
To check which elements are visible to which teams, there is a filter by visibility. This filter is available for project administrators in the documents, tasks & topics and in the journal. If the filter is activated, only the elements that are visible for the selected teams are displayed.
