Editing Users

When editing a user, after the Creation you can adjust the role, team assignment, contact groups, and role assignments for Project Administrators and Project Coordinators can be adjusted.


Only administrators can edit users.



Once created, the email address and company name cannot be changed independently, as the user is synchronized with global user management. The company is automatically detected based on the email address’s domain and can therefore only be updated when the user’s Create is modified. If you need to update your email address or company name, please feel free to contact Support.


The name, profile picture, and contact information—such as the address and phone number—can only be edited by the user themselves in the Personal Settings, since this information applies across all projects.

Login Information for Project Administrators

Project administrators can check whether a user has successfully registered and logged in to buildagil. The system displays the time frame of the last login: never, within the last 30 days, or more than 30 days ago. This information is updated once a day.

Editing External Contacts

When editing an external contact, you can adjust the role, team assignment, and contact groups after the Creation.


External contacts can only be edited by administrators.


To edit an external contact, you can open it and access the edit view.



Once an external contact has been synchronized with global user management, their name, address, and phone number can no longer be edited. This happens when the person has already received an invitation to a project as a user with the same email address. The email address and company name cannot be changed manually after they have been created. The company is automatically detected based on the email address’s domain and can therefore only be updated when editing the contact’s profile. To make changes to the email address or company name, please feel free to contact Support.

Additional Editing Options for Users & External Contacts

From the options for a user or external contact, you can open the contact card, contact the person via email or phone, or call them via Microsoft Teams. You can also copy the link to the contact and download the contact as a VCF file to import it into other projects.

Deleting Users & Contacts


It is not possible to delete users or contacts so that it is always possible to track who executed which action in the project and when.


If a user should no longer have access to the project, an admin can deactivate the user. For more information, see the following article: Deactivating / Reactivating Users. If you no longer want users or contacts to appear in the project, you can hide them. For more information, see the following section: Hide Users & Contacts.

Hiding Users & Contacts

Users and external contacts can be hidden from the contact list. Hidden users remain visible only to project administrators and can no longer be selected as responsible persons for tasks or as participants in meetings. If a user has already been used in items, they remain visible there regardless. Hiding is also an alternative to deleting, since users and contacts cannot be deleted for traceability reasons.


Hiding a user allows you to grant certain individuals access to documents that should not be visible to other project participants, such as during the bidding process.

Creating Views Without Hidden and Deactivated Users & Contacts

To provide a clearer overview for project administrators, you can create a custom view that excludes inactive and hidden users and contacts. This results in a focused view limited to the people who are currently relevant. This view can be saved as a favorite and accessed quickly from the quick access menu. In this case, users and project coordinators do not need to create a filtered view, since hidden and inactive users and contacts are not displayed in the contact list. For more information on visibility settings, see the following article: Visibility & Permissions for Contacts & Users.
