Selecting and editing templates

When creating a journal entry, a template can be selected via the "Use template" icon. All the information stored in it is automatically adopted, which makes the creation process much easier and ensures a uniform structure for the entries.

All project templates that have been shared across projects or for the user's team are displayed in the template overview. All personal templates are also displayed. Templates can be edited, pinned, copied or deleted using the options. Pinned templates appear at the top of the list, making it easier to find frequently used templates. Templates can also be searched for using the search function.

Create templates for journal entries

New templates for journal entries can be created using the "plus symbol". The completed fields are transferred to the new entry when the template is used. Fields that have not been filled in remain empty in the new journal entry and are not transferred.

When creating a template, you can first define the template title, an optional description and the visibility. The visibility can either be limited to the project, the user's team or only to the user's own person. The title, categories, classification, attachments, the company involved and the person responsible can then be stored.

Cross-project templates

Cross-project journal templates are particularly suitable if standardized entries are to be used in several projects. This ensures uniform documentation across different projects and reduces the time and effort required to create them.

These templates are available to all collaborators in a company across all projects and are only available to companies with a team package.

Using and editing works in the same way as with the Project templates. When creating, you can choose between Company and Personal. If Company is selected, the template is visible to all collaborators in the company. The personal template is only available to the person creating it. All collaborators in the company can edit company templates.

For cross-project journal templates, only those fields that have the same structure in all projects are available. For example, no categories can be used as these are defined on a project-specific basis.
