In the following article, the process of adding and using the buildagil add-in in Outlook is described. This enables the ability to reply to comments/conversations directly in Outlook, create tasks, search through project content, and open the project overview.

Adding the buildagil Add-In in Outlook


Clicking on Get Add-Ins in the upper right corner of the toolbar in Outlook enables the addition of new add-ins.



The add-in can be added by choosing My Add-Ins / + Add Custom Add-In / Add from URL...



Once the following URL is pasted and OK is clicked, the buildagil add-in is added: https://app.buildagil.com/clients/outlook/install.xml

Now the "buildagil Add-In" appears in Outlook.



Adding the buildagil Add-In for the entire Organization


The "buildagil Add-In" can be activated for the entire organization via the Exchange Admin Center.
To activate the add-in, logging into the Exchange Admin Center at Microsoft is required (direct link: https://outlook.office365.com/ecp).
The next step involves clicking on Organization in the Admin Center menu.



Adding the URL requires navigating to Add-Ins / + Symbol / Add from URL.



The following URL needs to be copied and pasted into the field: https://app.buildagil.com/clients/outlook/install.xml

By clicking on Install, the add-in becomes available. The "buildagil Add-In" is installed at this point, and it needs to be released for the organization. This is achieved by clicking on the "buildagil Add-In" and then on the writer symbol.



Selecting the following options and clicking Save activates the add-in for the entire organization.



The buildagil Add-In appears greyed out


It may happen that the buildagil add-in appears greyed out and cannot be used.



In order for the buildagil add-in to be used, the reading pane in Outlook must be set to "Right" or "Bottom". If the reading pane is turned off, the add-in cannot be used.





Logging in for the First Time


To open the "buildagil Add-In", a one-time log in with the Microsoft account (email address & password) is required.
This requires clicking on Log in.



The email address used for registering on buildagil needs to be entered, followed by clicking Next.



The password is entered and Sign in is clicked.



The option Do not show this message again should be activated followed by clicking Yes.



Replying to a Comment


An email notification received via buildagil needs to be opened. Clicking on the "buildagil Add-In" opens the task from which the notification originates.



The option to directly respond to the comment is now available by entering a new comment and clicking Send Comment. The task can also be edited directly for further processing by clicking Open Pending.

Searching through Project Content


Project content such as contact data, documents, tasks, meetings, etc. can be searched and opened directly in Outlook.





Project Overview


The project overview can be accessed directly via the overview icon in the top left of the add-in.



Task Overview


All tasks for which responsibility or involvement is held can be viewed and edited directly in the add-in.



Creating a New Task


By clicking the + symbol on the desired project, a new task can be created directly in the "buildagil Add-In".



To create a new task, the desired project has to be selected.



The task window opens where the task can be created and assigned to the desired individuals. In addition, attachments can be added directly via drag & drop. See the help article: Aufgabe erstellen
