Roles in the project


A clear understanding of roles is key to successful implementation.


Core team

The core team is responsible for setting up the project space and its successful introduction. It administers the project space and ensures that the desired working methods and organization are adhered to. During the course of the project, the core team ensures that the structures remain adapted to the project needs and that new project participants are enabled to use buildagil in a meaningful way. It typically consists of:

  • Project management
  • Construction management
  • If applicable: BIM coordination
  • Administrative support


For organizations that use buildagil widely, it is recommended to appoint a small group of people who are responsible for the coordination of experiences from the projects and the continuous further development of templates and structures even after the introduction.


Team members

The team members use buildagil in their day-to-day project work. They work according to a defined structure and working method and use the platform to support their tasks.

The sparring partner on the buildagil side acts as a direct contact person for organizational and commercial topics. He supports the core team in setting up and introducing the project space, shares best practices and is available for reviews of selected structures or planned processes. He accompanies the introduction to a reasonable extent and is also available on request during the project.



Introduction of the core team


This phase lays the foundation for the use of buildagil in the project.


Target

The core team creates the structural and organizer basis for the use of buildagil. The project space is set up, the project structure and working methods are defined and coordinated, and the core team is able to use buildagil in a targeted manner and to prepare and manage the introduction for the extended project team.


Central steps

  • Create project room and invite first admin (sparring partner buildagil)
  • Core team training (4h, on location): Empowerment and creation of a common understanding of the platform, working methods and administration (core team, sparring partner buildagil)
  • Set up project space: Define and implement structure (folders, metadata, templates, meeting structures), record project structure and working methods as guidelines and map them in the project space, create first meeting dates in the project space, migrate existing data, set up feedback channels for the project team (core team)

Introduction of the team


This phase creates a common starting point for all those involved in the project.


Target

All team members start using buildagil in a coordinated manner, are familiar with the project structure and working methods and can use the roles relevant to them independently. Questions and concerns are addressed and clarified at an early stage, and team members know how to access support resources (knowledge base, support, internal project channels and contact persons).


Central steps

  • Provide team members with access to the project room and link to the video course (core team)
  • Work out the basics of the platform and working methods independently with a video course (team members)
  • Customize personal settings: Add profile information, configure individual notifications, set up access on all devices (team members).
  • Kick-off (online, 30-60 min.): Onboarding appointment with all team members as a common starting point. Clarify open questions about working methods, project structure and buildagil (core team, team members, sparring partner buildagil)

Productive use


In this phase, the project space is used as a central working tool in everyday life.


Target

buildagil is established in the project and is used for collaboration, communication and task processing. Information and responsibilities are organized transparently and maintained consistently.


Central steps

  • Use communication channels efficiently: Communicate context-based and use notifications in a targeted manner (team members)
  • Ensure platform hygiene: Update open and overdue tasks, maintain structure, access and data quality on an ongoing basis (core team).
  • Take feedback into account: Take feedback from the team and make structural and process optimizations (core team)
  • Get to know and use new roles: Follow news posts regularly (core team)



Team changes


This phase supports the handling of changes in the project team.


Target

New participants are integrated in a structured manner and the existing way of working remains consistent and comprehensible.

  • Analyze changes in the team and evaluate the impact on the project (core team)
  • Check effects on structure and working methods (core team)
  • Resume introduction: Introduction core team execute on structural changes, Introduction of the team execute on onboarding completely new teams.
