Customize visibility

The visibility of a user or external contact can be adjusted when creating by the creator or when editing by a Project administrator (via the "Hide in contact list" option).


Contacts & users are generally visible to all persons in the project. For details see Visibilities & authorizations in details.


Adjusting the visibility of a contact / user has no influence on the visibility of the contact / user in elements in which they are already used (e.g. As a person responsible for tasks & topics, as a participant in meetings, as an editor of documents, etc.).

(*) Hidden contacts are only visible to project administrators and can no longer be used / selected in elements. However, if contacts have already been used in elements, they remain visible there regardless of this.

(**) Certain information cannot be edited if the contact is synchronized with the global user administration. In this case, only the user can customize the contact information (see Customize your personal profile). The e-mail address and company cannot be changed under any circumstances.

(***) It is not possible to delete contacts to ensure traceability in the project.

(*) Project coordinators can only create users with the approval of a project administrator. For details, see Approval of users.

(**) Hidden users, users to be released and inactive users are only visible to project administrators and can no longer be used / selected in elements. However, if users have already been used in elements, they remain visible there regardless of this.
